Office Manager

About the position:

We are looking for a highly organized and proactive Office Manager/Administrative Assistant to take ownership of our office operations and administrative processes. In this role, you will be responsible for maintaining a well-functioning office environment, coordinating administrative processes, and providing executive support to the CEO. This position is well-suited for someone who is organized, discreet, and enjoys being the go-to person who keeps everything on track.

Responsibilities:

Oversee daily office operations to ensure a smooth, well-organized work environment
Manage office supplies, vendors, and service providers, including coordination and administrative follow-up
Assist with document preparation and administrative paperwork
Maintain internal records and databases, ensuring all information is accurate and up to date
Assist in organizing internal events, meetings, and team initiatives (in collaboration with HR).
Track employee vacations and sick days and maintain related records
Prepare workstations for new employees, including equipment, access rights, and all necessary setup
Manage internal benefits programs, including adding employees to insurance lists, collecting receipts for sports activities and parking, and handling related administrative tasks
Provide administrative and organizational support to the CEO, including selected business and personal tasks
Manage the CEO’s LinkedIn page from an administrative perspective, including replying to messages and comments (not content creation)
Handle ad hoc tasks with a high level of ownership, accuracy, and discretion

Requirements:

At least 1 year of experience in an Office Manager, Executive Assistant, Administrative Assistant, or similar role
Strong organizational, multitasking, time management skills
Ability to work independently, take initiative, and manage priorities effectively
Strong attention to detail and problem-solving skills
Excellent verbal and written communication skills
Ability to work efficiently in a fast-paced environment and meet deadlines
Proficiency in Google Workspace and strong overall computer skills
Experience with AI tools (e.g., ChatGPT) or the ability to learn them quickly
